Overview

DEVONthink Pro is your essential assistant for today's world, where almost everything is digital. From shopping receipts to important research papers, your life often fills your hard drive in the form of emails, PDFs, Word documents, multimedia files and more. Questions eventually pop up, like where do you store all of this stuff? How do you organize these very different file types, and even better, how do you find the exact file you're looking for the second you need it? It's almost as if you need a second brain just to keep your digital life straight.

DEVONthink Pro is the solution to the digital age conundrum. It is your second brain, the one and only database for all your digital files, be they PDFs, emails, Word docs or even multimedia files. Boasting a refined artificial intelligence, DEVONthink Pro is exceedingly flexible and adapts to your personal needs. And if the files are not digital yet, digitize them with DEVONthink Pro Office. Use it as your document repository, your filing cabinet, your email archive, or your project organizer; DEVONthink Pro can do it all. You can even collect and organize data from the Web for your own use, enrich it with sound and movie files from your hard drive, and then export the finished product as a Web site or to an Apple Pages document to print, should you so desire. Or copy the content to your iPod! The possibilities are only as limited as your imagination.

What's new in DEVONthink Pro

Version 3.0beta6:

This build brings further refinements to DEVONthink. Of particular note is the synchronization of custom metadata defined in the Data preferences and items in the Reading List. The update also addresses various display glitches and makes some cosmetic changes to polish the interface. We're continuing fine-tuning and optimizing DEVONthink to increase reliability and performance.

  • Added option to correct the page orientation to Preferences > OCR.
Improved
  • Improved WikiLinking in Markdown documents.
  • Selecting an annotation in a PDF selects the annotation in the Document > Annotations inspector or the Document > Links inspectors, if the inspector is visible.
  • Slightly revised appearance of Preferences > OCR.
  • If Preferences > WikiLinks is set to Square Brackets, autocompletion of WikiLinks automatically starts after entering a pair of opening brackets and a single character.
  • The search scope in the Web Sharing interface now changes the selected search database if a different database is selected in the sidebar.
  • The icon view of Image Capture now supports renaming of selected items by clicking on them.
  • Improved accuracy of Tools > Summarize Highlights when used with PDF documents.
  • Column names in sheets or items in Preferences > Data must be entered before creating a new item. Unnamed items will be selected for editing if a new item is created.
  • Search terms in Name, Comment, and URL searches are shown in bold in the item list when using the is, begins with, ends with, or contains operators.
  • Updated script Export to Bookends now retrieves bibliographic metadata, if possible. This script requires Bookends 12.3 or later.
  • The contextual menu in the Tags filter pane can be opened without first selecting a tag.
  • Document dates and amounts used in placeholders can now be detected in PDF annotations.
  • Improved reliability of the Annotations & Reminders inspector, e.g., detecting invalid template files.
  • Improved dark mode support in rich text files and the Annotations & Reminders inspector.
  • Improved appearance of some interface elements, including the column headers in the Inspectors and the color of icons in the Navigation bar, the Editing bar, and the marks of the Info filter pane.
  • Improved support for non-Retina screens
Improved (Sync)
  • Renamed sync location option "Synchronize reading positions" to Synchronize reading list & positions as the Reading List is now optionally synchronized too.
  • Custom metadata items defined in Preferences > Data are now synchronized, including additions and deletions. Note that the state of the attributes, whether enabled or disabled in the preferences, is not synchronized to allow individuals in collaborative settings to use different sets of metadata.
Fixed
  • Fixed an issue where the See Also & Classify inspector didn't suggest groups for classifying bookmarks.
  • Fixed an issue where double-clicking groups in the Favorites section of the Navigate sidebar didn't honor the option Double-click opens groups in a new window in Preferences > General.
  • Fixed an issue where the selection in search results was lost when the window updated due to underlying database changes.
  • Fixed an issue where the Tabs bar always showed the close icon.
  • Fixed an issue with the line spacing in rich text documents created via OCR.
  • Fixed an issue where the Sorter didn't retain the last used format from the Clip to DEVONthink browser extension.
  • Fixed an issue where RSS articles didn't display an icon when added to the Reading List.
  • Fixed an issue when updating the display while resizing a PDF.
  • Fixed an issue with renaming files after splitting documents.
  • Fixed an issue when selecting a PDF annotation in the Document > Annotations inspector in macOS 10.11.
  • Fixed an issue with logins of the Web Sharing interface in WebKit applications, e.g., Safari.
  • Fixed an issue with WikiLink autocompletion.
  • Fixed an issue where names and tags entered in the group selector were not preserved after OCR was performed.
  • Fixed an issue with the conversion of tags between the Advanced criteria and the toolbar search field.
  • Fixed a rare issue with smart rule scripts conflicting with thumbnailing of rich text files.
  • Fixed various issues in the interface, including the behavior of date field steppers in Inspectors.
  • Fixed a rare application stall when moving items between databases.
  • Fixed a random crash when capturing web content within DEVONthink.
Removed
  • Removed scripts Remove Tags from Selection and Add Tags to Selection from the Support Assistant. These operations can be accomplished via smart rules, Tools > Batch Process, etc.

Once again, Devon Technologies has put out a minor release that many, many vendors would have tagged as "major" and charged for an upgrade -- this time, adding a new note type, Markdown capability, and Mavericks tagging. I bought this package shortly before 2.0 came out, when the developer was offering a 2.0 upgrade for any buyers of 1.x after that date. That was five years ago; the 2.0 release was in 2008. And several times now, the Devon people have put out some pretty big new features (especially on the Pro Office package, which I don't have), without upping the major release number. If you're going to spend anything more than $10 or $20 on a piece of organizational/research software, it's nice to know that that "planned obsolescence" is not the developer's strategy. Aside from that, it's just really good software. I tried a bunch of these products that make information capture and organization easy. Yojimbo's capture is probably easier, but not by very much if you use DevonThink's Sorter. DevonThink can also capture from a lot of different places in your workflow -- browser extension, print-to-PDF dialogue, global Inbox in your Finder, all mean you can capture any time the thought comes to you. But none of the other information managers out there provide you with anything like the kinds of tools you get from DevonThink for whipping your information into shape once you've captured it. Seriously, there's just no contest. There's an AI for suggesting cross-references and filing/tagging locations, you can auto-file all the stuff in your inbox if you've learned to trust that AI, you can annotate and edit PDFs, HTML, and Rich Text... It's just flat sick, is what it is. And, since it's basically morally wrong to keep a guy's stuff in a proprietary database with no way out (and there are information managers that do this), you can export to plain old files-and-folders that mimic your groups/tags, and navigate them through the Finder.

Is DEVONthink Pro beta 5 - it is "beta" after all - suitable for practical use?? We have been waiting for the final release ... need the software asap for a project that includes OCRing 1500 pages of pdf documents. Comments, thanks.

I'm a long time customer and own DevonThink Pro 2. I'm bummed that in order to keep using the Concordance feature, I have to upgrade to Pro 3 for $149, instead of v3 for $49. Concordance is the only additional feature I'd use in Pro v3, and I'll lose that if I just do the $49 upgrade to DT v3.

I agree it's a relatively powerful piece of software but I tried this vs. Paperless and Neat and found both those two apps on par and at 1/3 the price. I might be old school but I don't think shareware, as this product is listed as, should cost $200.

Best app I have ever used. Almost replaces Finder. Go paperless, organizes etc etc. Mac, iPhone and iPad all via iCloud AND IT WORKS!

Been using DTP since its early days, am very glad they finally modernized and streamlined it (it's always been very stable and highly professional). It's a complex and very powerful app I could not live without, and that is hard to describe as it can be and do so many things. It's central in my Mac-Life. I can only say I'm psyched about this "rebirth".
